Town of Esopus Library Friends Meeting
January 16, 2008

Attendees: Betty Ince, Lois Ingellis, Marion Zimmer, Lin Fagan, Marie Kelekian, Cathy Johnson, Arlene Merker, Kelly Tomaseski, Catherine Quick, Susan Holland, and Jay Olivett.
The meeting was called to order by chairperson Lois Ingellis.
The November 7, 2007 minutes were accepted.Marie Kelekian, treasurer, presented the treasurer's report which was accepted. A copy is attached to the permanent minutes.
Treasurer's Report for January 1, 2007 to December 31, 2007 showed income of $6,934.05, balance forwarded from 2006 of $9,944.66 for total income of $16,878.71.
Expenses totaled $12,836.94.
Balance on hand 12/31/2007 was $4,041.77.
Over $500 was made on the Christmas sale.
A motion was made and passed to set aside $500 for the Library to use to purchase 3 new tables and 2 carry racks for the tables. Lois and Kelly will find the best place to purchase these.
A motion was made and passed that $614.18 be given to the Library to buy a new laser bar scanner. The present scanner does not work correctly with the new computers. The old scanner is to be given to the Friends in hopes it will work with the older computer in the Friends book storage room.
Lois indicated that the Friends needed to think about gifts or some type of recognition for the Library staff and perhaps the Library volunteers during the Christmas season. An idea was to pay for the Community Awards dinner for the Library staff. This item will be taken up at a later meeting.
A motion was made and passed to give the Library $500 to spend on purchasing DVDs.
Lois indicated that the IRS would like the Friends to file its tax return by efile.Kathy Johnson said membership in Friends is 132 at this time.
The price for Special Books in 2008 is to be $6.00 and we should try putting these Special Books on the regular Book Cellar shelves so they are more visible.
February is Library Lovers Month. The Friends is selling love bundles for $2.00. The bundles have 5 books (love stories or novels) and are wrapped in Valentine paper. There is a meeting on Wednesday, Jan. 23 at 5:30 to pull the items for the bundles and make the bundles. A table is also being set up with cookbooks for sale. All Friends are encouraged to at the Jan. 23 meeting and to donate Valentine paper and ribbon for the bundles' wrapping.
At present the idea is to sell Vintage Books during the Friday and Saturday of Memorial Day Weekend. Other ideas are desired.The Library is closing on February 25, 2008 for inventory. Friends are needed that day to dust, straighten and read the book shelves. Books from the storage room that the Library cannot use are going to be given to the Friends that day and those then need to be organized and shelved in the Friends storage room.
A person is still needed to scan books for possible online book sales. This might be easier if the old laser scanner works on the Friends computer.
The Friends is looking to purchase reusable shopping bags similar to those sold at Hannaford and Stop and Shop for sale during the Fall Festival.
January 30th is the Mid Hudson Library Friends Support Group.Respectfully submitted,

Town of Esopus Library Friends Meeting
November 7, 2007Attendees: Betty Ince, Lois Ingellis, Marion Zimmer, Ruth Palmer, Lin Fagan, Marie Kelekian, Rose Mueller, Cathy Johnson, Arlene Merker, Kelly Tomaseski, Catherine Quick and Susan Holland.
The meeting was called to order by chairperson Lois Ingellis.
The September 19, 2007 minutes were accepted with the following correction: "Thank you notes are to be written to all new Friends' members and to those that contribute $25 or more."
Marie Kelekian, treasurer, presented the treasurer's report which was accepted. A copy is attached to the permanent minutes.
Lin Fagan reported 75 members had paid dues.
Treasurer's Report for January 1, 2007 to October 31, 2007 showed income of $5,796.90, balance forwarded from 2006 of $9,944.66 for total income of $15,741.56. Expenses totaled $10,240.84. Balance on hand 10/30/2007 was $5,500.72.
Lois thanked Lin for her work and also thanked everyone for their assistance with the fall book sale. The banner will be reused each year.
Marion Zimmer and Lois discussed the Book Cellar and the Storage Room. Books have been set aside to send to the Better World Books. Those books are the better hard cover books and library discards.
Old paperbacks are being discarded. Friends were asked to check with places they knew that might like to have paperbacks and take some of the discards to them if possible. Lin has an outlet for bird books.There was a discussion of the December small book sale.
Better quality books are to be put out for sale as are games and puzzles the library has received. The Knitting Club is to have items for sale and bulbs are to be sold.
Basic pricing will be like the fall sale and a goal of $500 was set for the sale.
A flyer is to be designed and distributed.
Help sorting books for this sale and in general is still strongly needed.There is also to be a February small book sale.
Mary Williams is still doing on line book sales.
Here Love bundles will be sold and cook books and craft books perhaps.
A liaison to the Library Board is needed. Lois is trying to do that now but needs a replacement come April.
Lois wrote a letter to Cumberland Farms asking for a $500 donation making them the sponsor of the booklet for the Fourteenth Annual Community Awards Dinner.
Gardening plots on the Library grounds are to be divided up amongst library groups. A motion was made and passed that the Friends take care of the Flag Pole plot.
Claudia Engle is to be contacted about doing a Paint Out in the spring on the Library grounds.
Kelly Tomaseski, Library Director presented the following list of item expenditures desired by the Library.
A motion was made and passed to pay the above expenditures.
Program $750 Community Mailing $875 2 year subscription to the Wall Street Journal $395 Intern $480 Total $2500
A motion was made and passed for the Friends to purchase two racks that hold ten tables and 2 tables for the cost of $255. Also material to hold the books upright on the storage and Book Cellar shelves is to be bought.
Library desk pages are needed Monday and Thursday afternoons and Tuesday and Friday mornings to help shelve books and accomplish other items needing assistance.
The chairperson presented the following slate of officers and asked for other nominations. There being none the slate was accepted unanimously. The slate for officers for 2007-2008 is as follows:

Members are to be on the lookout for places to purchase book bags that can possibly be sold for $5 or less.
The next meeting is Wednesday, January 16 at 6:30. Plans for the February small book sale and other items are to be discussed.

Town of Esopus Library Friends Meeting July 18, 2007
Attendees: Betty Ince, Marie Kelekian, Lois Ingellis, Ruth Palmer, Joy Palmer, Lin Fagin, Marion Zimmer and Cathy and Earl Johnson.
The meeting was called to order by chairperson Lois Ingellis.
The May 16, 2007 minutes were accepted.
Marie Kelekian, treasurer, presented the Treasurer’s Report for January 1, 2007 through June 30, 2007. The total income on 6/30/07 was $11,356.56. The total disbursements were $8,437.50 and the balance on hand 6/30/07 was $2,919.06. There is a grant of $500 that was received from the All State Foundation for the Main Street Grant Program. It was noted that the Book Cellar was very prosperous in May and June. All of the money collected during the Memorial Day Sale went directly to the Library. The treasurer’s report was accepted. A copy of the treasurer’s report is filed with the minutes.
The Library Director has asked for the following items to be funded by the Friends.
I motion was made, seconded and passed that $1,250 should be taken from the Friend’s budget and given to the Library for the above items.

The Friends is not sponsoring an ad for the RSVP booklet.The Esopus Fall Festival is September 29, 2007 and the friends are having their book sale. Lois Ingellis is going to research getting a banner about the book sale to be placed at the top of Canal Street.
- The Library picnic is August 21st.

The primary program for the evening was sponsored by the Mid Hudson Library System Friends Support Group. The topic for the evening was Book Sales. Rebekkah Smith Aldrich, Coordinator of Member Information led the meeting. Approximately 25 people from Friends Groups around the Mid-Hudson attended. The handout distributed at the meeting is attached to the secretary’s minutes of the Esopus Library Friends meeting.

Town of Esopus Library Friends Meeting April 18, 2007
Attendees: Betty Ince, Lois Ingellis, Marion Zimmer, Kelly Tomaseski, Ruth Palmer, Joy Palmer, Julie Brinkmann, Helen Cammans, Arlene Merker, Cathy Johnson, Earl Johnson and Lin Fagan
The meeting was called to order by chairperson Lois Ingellis.
Lois discussed the Friends Support Group sponsored by MHLA which is meeting April 30, 2007 from 6 to 8. Julie Brinkmann, Arlene Merker and Lois are attending. Lois also discussed the 2007 legislative update. Folks went to Albany to lobby the legislature and the legislature passed $8 million for library use and $14 million for library construction. The Esopus Library got some state money through the MHLA. Lois and some volunteers sent out the BookMark.
The March 20, 2007 minutes were accepted.
Marie Kelekian, treasurer, was not present so there was no up-to-date treasurer’s report. The Friends gave the library $7,900 for tables, chairs, etc.
The Book Cellar is doing quite nicely and the Friends are working on finding an inventory system for the Book Cellar.
The April 28, 2007 date of selling the furniture and books from the old building was moved to Memorial Day weekend on Monday, May 28, 2007. The Friends are going to try to sell the left over furniture and books that day. There are 2 small white tents that can be used and there may be a bake sale. All this is at the old library building. The candidates can speak at that time and the budget be reviewed.
Earl Johnson discussed the information from the last Board of Trustee’s meeting. The final inspection with the architect is April 19, 2007. The Trustees bought a stove, microwave, and one new cabinet. All of that is to be put in place very soon and the kitchen is then complete. They hope to have one million dollars in the foundation and let the money grow. The interest is to be used to contribute to the library. They also hope to $100,000 in the library account that can be invested in insured accounts and used by the library as necessary. Money should also be coming from the state for the new heating system.
The Chocolate Cheers bricks were a big hit with the volunteers. Lois thanked all who contributed food for the moving volunteers.
Lois had ordered new letterhead and such for the Friends group.
Volunteers once again are needed to make phone calls to get out the vote for the library budget on Tuesday, June 5, 2007. Lois is setting up a training time between Memorial Day and the vote.
Kelly Tomaseski and Lin Fagan will assist in the selling of Da Chen’s books after his presentation on Friday, April 20th at 7:00 pm.
Saturday, April 21st has story telling and book signing starting at 9:45. From 10-2 the Masonic Child ID Program is running. Story telling again at noon and at one o’clock the Esopus Apple Tree is to be planted.
The great river sweep is scheduled from 10-2 on Saturday, April 21st.
The Grand Opening Reception has been rescheduled to Sunday, April 22 at 2pm. The West Park Winery has donated wine and Starbucks has donated coffee for this reception.

Friends of Town of Esopus Library Meeting - March 20, 2007
Attendees: Earl Johnson, Cathy Johnson, Marion Zimmer, Arlene Merker, Lois Ingellis, Marie Kelekian and Anne Morrison
The Meeting was called to order by chairperson Lois Ingellis.
The February 2007 minutes were accepted.
Marie Kelekian, treasurer, presented the Treasurer's Report for January 1, 2007 - February 28,2007: $8,000.00 was spent for new tables,chairs and shelves for the new library building. That leaves $2,000.00 in the treasury. $1,000.00 will be used for needs in new building. Report was accepted.
Book Shed - Marion: Shed will be in storage area of new building.
Book Cellar - Marion: Needs are storage, desk from old building can be used. In new room storage and shelves must be set up. Computer hookup and Internet access is needed. A Laptop Computer would be of great use and hopefully could be donated. Arlene will donate table. Official opening of Book Cellar will be this summer. Will be announced in the Bookmark. Change in pricing was discussed, $2.50 for hardcover and $1.50 -$1.00 for paperback or charge 10% or retail price. Special Events will now be held in new building, Discussion regarding Memorial Day Parade Sale. Will be decided after April's events.
Liaison to the Board Report - Marion Board has 3 seats coming up for election . Open House on March 25, at 2PM in new building to pick up petitions for those interested in a board seat. Taxes 2006 non-profit - filing is not needed, but report will be kept on file.

Food for the volunteers helping with move was coordinated by Lois.
New Business: Lois
A sale, at the old building, of whatever misc. items not needed in new building will be run by the Friends. ie: desks,books, shelves A target date is April 28. volunteers needed
New logo was approved for new letterhead, envelopes and cards with Canal St. address. An email address isn't set up at this time.Public Meeting - Transportation Council March 28 in Woodstock & March 29 in Highland To discuss Ulster County Non-Motorized Transportation Plan improvement of the bicycling and walking paths in Ulster County. www.altaplanning.com/ulsternmtp/
Discussion: should Friends donate money towards the Main Street Grant application fee? Lois has donated her time in helping preparing the application and Marion has donated photographs of the buildings on Broadway. The value of their work is over $300.00. After pro and cons stated by Earl, Marion and Lois a vote was taken. The decision was passed that the Friends will not donate money.
